Role Responsibilities

The role of the Meetings and Events Consultant is crucial in the Operations team as they are responsible for overseeing all Meetings and Events bookings primarily in the KSA region, with knowledge of other ME regions as well.
Their main tasks include monitoring and managing inbox communications, consulting with event planners to understand their objectives, preferences, and budget limits, and ensuring compliance with PwC policies throughout the pre-approval to post-event processes.
They also negotiate with vendors/suppliers to secure cost-effective services without compromising quality, handle contracting processes, and notify event planners about government/hotel/event permits and important deadlines.
Additionally, they assist with event logistics, arrange site visits and rooming lists if necessary, facilitate vendor management, LPOs, and vendor registration, manage invoicing and reporting to finance, and ensure timely submission of documentation throughout the sourcing process.
They also ensure adherence to SLAs and provide coverage when needed.
Ensure that meeting and event payments meet SLAs, include a tax-compliant invoice, and are billed to the appropriate PwC legal entities.
Collaborate with the Meetings & Event Operations Lead and Travel Operations Lead to improve operations and reduce costs.
Coordinate and manage all aspects of Meetings and Events, such as venue bookings, on a daily basis while following policies.
Respond to queries and escalate difficult situations as needed.
Assist PwC stakeholders with venue sourcing, ensuring compliance with policies and obtaining approval for exceptions.
Support the development and enforcement of policies and procedures for event organizers.
Show flexibility during peak seasons, such as annual events like GPM, Consulting, LoS, Townhalls, and graduate induction. Streamline Meetings and Events spending, including venue pricing and recurring event business.

Qualifications & Experience

Language: Must be fluent in English, with proficiency in Arabic being a plus.
Total Experience: Minimum of 3 years of overall experience
Specific Experience: Previous experience as a Meetings and Events Consultant or in a related position
Skills and Knowledge:

  • Strong focus on customer service
  • Excellent organizational skills, attention to detail, time management, proactive problem-solving
  • Effective verbal and written communication abilities
  • Proficient in computer skills and database management
  • Familiarity with technology like Cvent or similar platforms is a bonus.
